Executive Assistant
Location: Montreal (on-site position – head office at 338 Saint-Antoine Street East, with travel between organizational sites)
Status: Full-time permanent
Schedule: 35 hours per week, Monday to Friday, 8:30AM to 3:30PM (occasional evenings and weekends required)
Salary: Starting at $22.56/hour

Job Description

The Executive Assistant works closely with the Executive Director to support administrative, organizational, and strategic responsibilities. The person ensures coordination between senior leadership, managers, and internal and external partners, and plays a key role in supporting the Board of Directors. They may also represent the Executive Director in certain communications and contribute to the organization’s overall operations.

Key Responsibilities

  • Administrative support and management of the Executive Director’s schedule
  • Organizing travel and accompanying the Executive Director to certain meetings
  • Drafting, formatting, and translating corporate documents
  • Coordinating logistics for meetings and events
  • Transcribing and preparing meeting minutes and reports
  • Updating files with government authorities
  • Supporting operations across various organizational sites
  • Planning and coordinating Board of Directors meetings and the Annual General Meeting

Qualifications and Skills

  • AEC (Attestation of College Studies) in administration, office management, or a related field
  • Minimum of 3 years of experience in a similar role
  • Excellent command of French and strong proficiency in English (spoken and written)
  • Strong proficiency in Microsoft Office Suite
  • Excellent organizational skills, autonomy, and ability to manage priorities
  • Strong attention to detail, discretion, and ability to work under pressure
