Building Coordinator
Immediate Supervisor: Building and Operations Manager
Position Type: Temporary, full-time
Contract: 3 months
Salary: $31.00 per hour
Work Location: In-person

 

Job Objective

Reporting to the Building and Operations Manager and working closely with site coordinators, the Building and Operations Coordinator is responsible for the maintenance, cleanliness, safety, and proper functioning of PAQ’s buildings, equipment, and facilities. He or she works directly on-site to ensure the quality and safety of the spaces provided to beneficiaries.

Main Responsibilities:

Facilities Management

Conduct weekly inspections of the sites and prepare reports.
Promptly follow up on issues identified (through inspections or internal reports).
Perform or arrange for the necessary repairs (in coordination with the handyman).
Manage supplies, keys/access cards, and the condition of equipment and furniture.
Perform general interior and exterior maintenance (painting, decorating, landscaping, etc.).
Oversee recurring maintenance tasks: snow removal, lighting, plumbing, etc.
Manage incidents and accidents and follow up with insurance providers.
Provide emergency response outside of business hours.

Health, Safety, and Fire Prevention

Ensure the cleanliness, order, and hygiene of the premises.
Supervise the janitorial teams (in-house or external).
Ensure compliance with health and safety standards and government regulations.
Update evacuation plans and ensure staff training.
Supplier Relations
Maintain a list of approved contractors.
Obtain competitive bids and manage service contracts.
Ensure the quality and efficiency of external services.

Inventory and Supply Management

Manage the inventory of furniture and equipment and plan for their replacement.
Ensure that essential supplies are available at the shelters.
Oversee the secure storage of PAQ’s assets.

Administrative Tasks

Assist the building manager with various administrative and follow-up tasks.
Write simple reports in French or English.

Ideal profile:

Education Requirements

A college diploma (DEC) or vocational diploma (DEP) in a relevant field.

Experience and Skills

Significant experience in at least 3 of the following areas:
Building maintenance
Supplies/inventory management
Health and safety
Fire safety
Supplier relations
General security
Basic maintenance and repair skills.
Proficiency in Microsoft Office and Google tools (Docs, Sheets).
Ability to multitask, prioritize, and work under pressure.

Languages

Fluency in French with a working knowledge of English.

Ability to lift heavy objects (more than 40 pounds/20 kilograms)

*At PAQ, although French is the primary working language, many of the Indigenous clients we serve speak their mother tongue first and English as a second language, with French rarely being used. In order to provide effective support, proficiency in English is required for this position. This requirement is based solely on the nature of the duties and the need to communicate effectively with our clients, in accordance with Quebec’s language laws.
